Health and Safety Policy for Gardeners Little Ilford
Gardeners Little Ilford is committed to maintaining high standards of health and safety for our gardeners, contractors, clients, visitors, and members of the public. This policy explains our approach to managing risks, promoting safe working practices, and complying with relevant health and safety legislation and industry guidance.
Policy Statement
We aim to provide gardening and grounds maintenance services in a manner that prevents injury, ill health, and property damage. Management accepts overall responsibility for health and safety within the business and ensures that suitable resources, information, and training are made available to support this objective.
Every worker and contractor engaged by Gardeners Little Ilford has a duty to work safely and to follow the procedures set out in this policy and in any associated method statements or risk assessments.
Objectives
Our health and safety objectives are to:
Identify, assess, and control risks arising from our gardening activities, including routine maintenance, landscaping, hedge cutting, lawn care, planting, and green waste handling.
Provide and maintain safe equipment, tools, and vehicles that are suitable for the work being carried out.
Ensure staff are competent to perform their tasks through appropriate training, supervision, and ongoing development.
Promote a positive health and safety culture, encouraging open reporting of hazards, near misses, and incidents.
Protect members of the public and clients by planning work carefully, managing access, and keeping work areas as safe as reasonably practicable.
Responsibilities
Management is responsible for implementing this policy, reviewing it regularly, and ensuring that risk control measures are in place and effective. This includes arranging training, providing appropriate equipment and personal protective equipment, and carrying out periodic inspections of work practices.
Supervisors, where appointed, are responsible for day-to-day monitoring of safety standards, allocating tasks in line with competence and training, and ensuring that risk assessments and method statements are followed on site.
All gardeners and workers are responsible for:
Taking reasonable care of their own health and safety and that of others who may be affected by their work.
Using tools, equipment, vehicles, and personal protective equipment correctly and in accordance with training and instructions.
Reporting unsafe conditions, defective equipment, accidents, and near misses at the earliest opportunity so that corrective action can be taken.
Risk Assessment and Safe Working Practices
Formal risk assessments are carried out for key gardening tasks such as grass cutting, hedge trimming, pruning, planting, use of powered machinery, working at height, use of chemicals and biological agents where applicable, and manual handling of soil, plants, and materials. Site-specific risks, such as uneven surfaces, confined spaces, water features, or limited access, are assessed before work begins.
Safe systems of work and method statements are developed based on these assessments. Staff are briefed on the hazards and control measures before starting work and are expected to follow the agreed methods.
Equipment, Machinery, and Personal Protective Equipment
Gardeners Little Ilford provides tools and machinery that are suitable for professional gardening activities. All equipment is maintained in a safe condition in line with manufacturer instructions and relevant regulations. Defective equipment must be removed from service immediately and reported.
Where necessary, personal protective equipment is provided, such as safety footwear, gloves, eye and ear protection, high visibility clothing, respiratory protection, and protective clothing suitable for the task and weather conditions. Staff must use this equipment as instructed and report any loss, damage, or fault.
Chemical and Environmental Safety
Where garden treatments or horticultural chemicals are used, we apply them in line with manufacturer guidance and relevant safety data sheets. Only trained and authorised personnel may use such substances, and appropriate personal protective equipment and storage arrangements are provided.
We take care to minimise environmental impact, manage waste responsibly, and avoid contamination of soil, water features, or neighbouring properties during our gardening work.
Manual Handling and Ergonomics
Many gardening tasks involve lifting, carrying, digging, or repetitive movements. We assess manual handling risks and use mechanical aids or team lifting where appropriate. Staff are instructed in safe lifting techniques and encouraged to take regular breaks, rotate tasks, and avoid unnecessary strain.
Traffic Management and Public Protection
When working in driveways, shared access paths, or near roads, we plan the work to minimise risk to staff, clients, neighbours, and passers-by. This may include the use of warning signs, barriers, high visibility clothing, and careful positioning of vehicles and equipment.
Tools and materials are kept tidy and secure to prevent trips, falls, and other hazards. Sharp tools and powered machinery are never left unattended in accessible public areas.
Training, Information, and Consultation
All staff receive an induction covering our health and safety arrangements, safe use of tools and machinery, emergency procedures, and site conduct. Additional task-specific training is provided where required, including the use of powered equipment, working at height, or application of treatments.
We consult with staff on health and safety matters, take their feedback seriously, and review practices in light of experience, changing regulations, or new equipment and techniques.
Accidents, Incidents, and Emergency Procedures
All accidents, injuries, near misses, and dangerous occurrences must be reported as soon as possible to management. Details are recorded and investigated so that causes can be identified and corrective measures implemented.
Emergency arrangements, including first aid, fire safety, and dealing with sudden illness or injury, are communicated to staff. Workers must familiarise themselves with client site arrangements where relevant, including access points and any specific house rules.
Client and Site Responsibilities
We ask clients to assist us in maintaining safe working conditions by:
Informing us of known hazards on their property, such as unstable structures, hidden cables, contaminated soil, or aggressive animals.
Ensuring that access routes are reasonably clear and that children, pets, and visitors are kept away from active work areas.
Respecting any temporary barriers or requests to avoid specific areas while gardening work is underway.
Policy Review
This health and safety policy is reviewed regularly and updated when necessary, for example following changes in legislation, significant incidents, or developments in our gardening services and techniques. The most current version is the one that applies to all Gardeners Little Ilford activities.
By following this policy, Gardeners Little Ilford aims to deliver professional gardening services while safeguarding the wellbeing of everyone involved in or affected by our work.
